Flawless Audio Visual Solutions for ProofPoint’s 2-Day Trade Show at Hilton Park Lane, London

At our company, delivering seamless audio visual (AV) services is at the core of what we do. Recently, we had the pleasure of supporting ProofPoint’s 2-day trade show at the Hilton Park Lane in London. Working alongside our partners at LSFX, we meticulously managed every detail to ensure the event’s success. From production management to cutting-edge AV supplies, we made sure each element was delivered with precision.

For four months, we collaborated closely with ProofPoint to plan and execute their vision. The event demanded a high level of coordination, and we were proud to work with over 20 local suppliers to bring the project to life. Here’s a closer look at how we made it happen.

Impressive AV Setup: LED Video Walls & TV Screens

One of the most notable aspects of the event was the massive AV setup, which transformed the venue into an immersive, high-tech environment. We installed over 50 square meters of LED video wall across the venue, creating a visually stunning backdrop for presentations, keynotes, and breakout sessions. These walls were perfect for displaying custom graphics and animated introductions, which spanned all three video walls in the main room, giving it a professional, Apple Keynote-style feel.

Additionally, more than 40 TV screens were used throughout the trade show floor and in various breakout rooms. These screens, managed using the Barco E2 platform and Blackmagic Design ATEM for camera switching, ensured smooth visuals for presentations and streaming sessions. The screens also allowed attendees to view content from anywhere, whether in the main hall or walking around the trade floor, adding to the seamless event experience.

Managing Breakout Rooms & Keynote Sessions with Precision

The event featured five different breakout rooms, each equipped with customised AV setups tailored to meet the specific needs of the sessions. From presentations to interactive discussions, our AV solutions ensured that each room was set up for success.

In the main room, which hosted keynotes and major speakers, we had a dedicated team of 12 people managing every technical detail. This included overseeing the synchronisation of custom graphics and animated sequences across the LED video walls. Our team also handled live streaming, allowing both local and remote attendees to tune in to the sessions in real-time.

Crystal Clear Audio in Central London: A Technical Challenge

Delivering high-quality audio in a bustling city like London comes with its own set of challenges, but we were more than prepared. Partnering with our friends at Forfey, we provided L’Acoustics audio systems, Shure Axient wireless microphones, and Yamaha consoles, ensuring crystal-clear sound throughout the venue.

One of the most impressive feats was managing 45 channels of wireless radio in the heart of central London, where frequency interference is often a challenge. Thanks to careful planning and the use of cutting-edge equipment, we were able to deliver uninterrupted, high-quality audio, keeping the event running smoothly.

Lighting Design: Bringing the Venue to Life

No event is complete without the right lighting to set the mood. We worked closely with PSI to design a lighting setup that complemented the AV elements and enhanced the overall atmosphere of the event. With over 70 lighting fixtures, all powered by the new Avolites D9 Console, we created a dynamic and visually appealing environment that brought the space to life. From spotlighting keynote speakers to illuminating the trade floor, our lighting design added depth and vibrancy to the event.

Innovative Features: AI Headshots by Snapbar

A fun and engaging new feature at the event was the use of AI headshots from Snapbar. This innovative tool allowed attendees to create both professional and fun headshots on the spot. It added a personal touch to the trade show, giving guests something memorable to take away and making the experience even more enjoyable.
